Softfix CRM modernization team working in a modern office
CRM modernization company

Still tracking leads in a CRM from 2012? Let's talk.

Softfix is a CRM modernization company in India. Our office is in Gomti Nagar, Lucknow. For the first week or two we mostly just read the code and the data model. Old .NET, classic ASP, PHP 5, whatever you've got. We don't change a single screen until we know what each pipeline stage, report and workflow is actually doing. After that we move things over a bit at a time, and your sales team keeps logging calls and closing deals in the meantime.

VB6 · Classic ASP · Old .NET & PHP → .NET 8 · Node.js · React · AWS · Azure
Example migration Both live

Before

  • • VB6 desktop CRM
  • • SQL Server 2008, on-prem
  • • Nightly CSV exports
  • • Manual deploys, by one person

After

  • • Web + mobile CRM
  • • Managed cloud database
  • • REST APIs, real-time sync
  • • CI/CD pipeline
Modules moved 7 of 12

Your staff move to the new screens one module at a time. Till a module is tested and signed off, the old screen is still there if they need it.

Phased No risky big-bang rewrites
Side by side Old and new CRM run together until you're ready
Zero-downtime Cutovers planned from the first week
100% Code, data and IP stay yours
Signs your CRM needs modernization

How many of these sound familiar?

In most companies an old CRM does not stop working one fine day. What happens is it gets a little slower every year, the risks go up and so does the maintenance bill. If three or more points below apply to you, we should probably talk.

1

Ask anyone how the pipeline module works and they say "Sharma ji knows." Sharma ji retires next year.

2

Your CRM version stopped getting security patches back in 2019 or so, and nobody is quite sure what that means for you.

3

Want Razorpay on it? WhatsApp? A CRM mobile app for the field team? Each one turns into a six-week headache.

4

Sales starts the month-end forecast at 10 am and goes for chai. Twice.

5

A lot of important leads and follow-ups have slowly moved out of the CRM and into Excel sheets.

6

Your server, licence and AMC charges increase every year but the CRM itself has not improved.

7

You put up a job post for a VB6 developer. Three weeks later, two CVs. One of them is retired.

8

It only opens on the office desktops, so your sales guy sitting at a client's place can't even check if the lead is still warm.

Risks of not modernizing a legacy CRM

What waiting another year really costs

Waiting feels safe, we get it. But every year you wait the job gets bigger, and usually it ends up being done in a panic after something has already broken.

Security holes nobody can patch

Unsupported frameworks and old Windows servers are among the first things attackers look for when they scan for weak systems.

Failed audits

DPDP and GDPR both want encryption and proper access logs. A lot of older CRMs just weren't built to keep those.

When your one expert leaves

Most of what your company knows about the CRM sits in one person's head. If they leave, it walks out with them.

Big deals slipping away

Large buyers ask about APIs, single sign-on and uptime before they sign. "We'll check and revert" doesn't close those deals.

Growing technical debt

Every quick patch on old code makes the next change slower, and a little scarier to push live.

Rising running costs

Old hardware, extended support contracts and specialist contractors all get more expensive with each passing year.

Legacy CRM application modernization

That desktop CRM your sales team has used since 2010? We rebuild it for the browser and for phones. All the pipeline rules and workflows you depend on stay exactly as they are.

CRM cloud migration services

We handle on-premise to cloud migration on AWS, Azure or Google Cloud. Not every part of the CRM needs to go to the cloud, and we will tell you which parts are better left where they are.

Monolith to microservices migration

We take services out of the large CRM one at a time. Usually we start with lead capture or reporting, since these tend to cause the most problems.

Legacy CRM database modernization

If your data sits in Access, FoxPro or SQL Server 2008, we shift it to PostgreSQL or a managed cloud database. Before we call it done, we match row counts between the old and new database, table by table.

Legacy CRM product modernization

Got a CRM that's been customized so much nobody dares touch it? We move it onto something easier to maintain, and your reports and approval flows come along as they are.

COBOL / VB6 / legacy code modernization

COBOL, VB6, Classic ASP, Delphi, PowerBuilder — we work with all of these. Step one is always going through the old code and writing down what it really does. You'd be surprised what turns up. The rebuild only starts after that.

CRM re-platforming services

New runtime, new hosting, and as little code change as we can get away with. Usually the quickest and safest way off an old platform.

CRM re-engineering services

Sometimes the logic is fine and it's the code underneath that's a mess. We sort out the structure so the next change doesn't take a month.

Code refactoring services

Tests go in first, then the clean-up. Nothing changes for your users. Your developers just stop being scared of opening the code.

Tech stack upgrade services

We upgrade .NET Framework to .NET 8, AngularJS to React, PHP 5 to PHP 8 and Java 8 to Java 21, including the upgrade that has been on your to-do list for years.

API-first CRM modernization

We start by putting proper APIs in front of the old CRM. New apps can hook into those right away, and meanwhile we replace the core quietly behind them.

UI/UX modernization for legacy CRM

Crowded forms, a dozen tabs on one screen, buttons nobody has clicked in years. We redesign around how your sales team actually works now, and new joiners pick it up much faster.

Containerization services

We package CRM applications in Docker so they run the same way on a developer's laptop, a test server and production.

Not sure which one you need?

Most of our projects use two or three of these services together. The assessment helps us work out the right combination for you.

Start with an assessment
CRM modernization vs rebuild from scratch

Should you modernize the CRM or build a new one?

Building something completely new can look attractive. But an old CRM usually contains years of business rules, and many of them are not documented anywhere else. Before recommending either option, we go through the questions below with our clients.

Question Modernize Rebuild from scratch
Is the business logic still right? Yes, mostly. It's the tech that's tired. No, the way you work has changed a lot.
Can the business pause? No. Old and new have to run side by side. A longer parallel period is acceptable.
Risk Lower. Each phase is small and reversible. Higher. Value arrives near the end.
When do you see results? Within weeks, module by module Often after many months
Cost profile Spread out, paid per phase Large upfront investment
Data Migrated gradually, with backward compatibility One big data migration at cutover

In the projects we have seen, a full rebuild turns out to be the right choice less often than clients expect. If it is the better option for you, we will say so.

How to modernize a legacy CRM

A CRM modernization strategy that doesn't stop the business

We do not switch off the old CRM on a Friday and hope the new one works on Monday. Each step below is kept small so that it can be rolled back if there is a problem.

  1. Step 1

    System audit

We review the CRM code, database, integrations and security of your current system. You receive a written report, whether or not you continue with us afterwards.

  2. Step 2

    Roadmap

Then we go part by part: rehost this, re-platform that, refactor here, application rearchitecting there. What goes first depends on what's riskiest and what pays back soonest.

  3. Step 3

    Pilot module

We start with one real CRM module running on live data. If there are gaps in the plan, this stage usually shows them.

  4. Step 4

    Phased migration

Data migration and zero-downtime migration happen one module at a time. Old and new CRM run in sync till your users tell us they're happy.

  5. Step 5

    DevOps enablement

Automated builds, tests and monitoring get set up. Otherwise five years from now you'd be calling us about this system too.

  6. After

    Retire & support

Once everything has moved, the old CRM is switched off and archived safely, and we continue to provide support.

Technical debt reduction

Dead code goes, duplicate logic gets merged, tests get added. A two-day change takes two days again.

Security vulnerability remediation

Old libraries swapped out, known holes patched, and proper role-based access so not everyone can see every lead.

Performance optimization

We rewrite slow database queries and add caching, so screens that used to take many seconds to load open much faster.

Scalability improvement

If you are opening a new branch or adding users, the CRM can grow without you buying more servers.

Cloud-native transformation

We use autoscaling, managed backups and pay-as-you-go hosting where it makes financial sense for you.

Backward compatibility

Your existing reports, file formats and connections with partners continue to work during and after the migration.

Third-party integration support

We connect the new CRM with Razorpay, WhatsApp, Tally, the GST portal, CRMs and courier services, so adding new tools later is simpler.

Application rearchitecting

Where it is needed, we give the CRM a cleaner structure so different teams can work on it without getting in each other's way.

Legacy CRM migration to cloud

Three ways to move your CRM to the cloud, depending on your budget and timeline

Fastest

Lift and shift

The CRM is moved to cloud servers without major changes. This is the quickest way to get off old hardware, but the application itself stays mostly the same.

Most common Best balance

Re-platform

We make some changes so the CRM can use managed databases, containers and autoscaling. For most companies this gives the best balance of cost and benefit.

Biggest payoff

Go cloud-native

The CRM is redesigned into services built for the cloud. It takes more effort at the start, but running costs are lower and scaling is easier later.

Cost of CRM modernization

You do not have to spend the full budget at the start.

Since the work is done in phases, the payments are also spread across phases. Most clients start with an assessment and then approve one phase at a time. The total cost depends on the size of the codebase, the number of integrations and the condition of the existing data.

Legacy code assessment

This includes a complete system audit, a written report and a phased plan. The report belongs to you, even if another company does the work.

FAQ

Questions IT heads usually ask us

Will our business have to stop during the migration?
No. Your people keep working the whole time. We shift one module over, and the old CRM keeps running right next to it. Switch-overs happen on a Sunday or late in the evening, whenever your office is quiet, and if anything looks off we can switch straight back.
What is the cost of CRM modernization?
It comes down to three things: how big the code is, how many other systems it talks to, and how messy the data is. Moving a CRM to a new platform costs a fraction of rebuilding a whole custom suite. Once the assessment is done you get a separate price for each phase, so you're never committing the full amount on day one.
How long does legacy CRM modernization take?
The assessment itself is two to four weeks. Most clients have their first pilot module live a couple of months after that. A really big CRM can take a year or longer end to end, but you're already using the new parts well before the last one is done.
What is legacy CRM modernization?
It means taking a CRM your business has relied on for years and moving it onto modern technology without losing the way it works. Sometimes that's a quick move to the cloud, sometimes it's cleaning up the same code, and sometimes parts get rebuilt from scratch. The goal is a CRM that's safer, faster and easier to change, while your team carries on with their work.
Why work with a CRM modernization company in India?
You get experienced engineers at rates that make a careful, step-by-step migration affordable, and our working hours overlap with the UK, Europe and the US morning. Our office is in Lucknow.
What are the 7 Rs of application modernization?
They're seven ways of dealing with an old application: retire it, retain it as it is, rehost it (lift and shift), relocate it, repurchase a ready-made product instead, replatform it with small changes, or refactor it properly. Most companies end up using three or four of these across their systems. Working out which one suits which app is a big part of our assessment.
