Real estate sales team and property dashboard
REAL ESTATE SOFTWARE · LUCKNOW & TORONTO

Real estate software that stops leads from slipping away.

A buyer fills a form on 99acres at 9 p.m. Someone calls back two days later, and by then they've already visited your competitor's site. We build CRMs, listing apps and booking systems for builders, brokers and property managers, so that call happens in minutes and nothing gets lost in a WhatsApp chat.

  • Leads from 99acres, MagicBricks, Housing and Facebook in one place
  • Bookings, payment plans and reminders handled without Excel
  • A sales app your team can use at a half-built site with no signal

Sound familiar?

Signs your sales process has outgrown spreadsheets.

Most real estate teams we meet aren't short of leads. They're short of a way to keep track of them.

01

Leads sit in five different inboxes

Some come by email from portals, some through Facebook, a few walk in, and the rest are on someone's personal phone. Nobody has the full list.

02

Follow-ups depend on memory

A sales executive promised to call back on Saturday. Then the weekend got busy. The buyer booked elsewhere on Monday.

03

Two people promise the same flat

Inventory lives in an Excel sheet that three people update. Sooner or later, unit 1204 gets sold twice.

04

Chasing instalments takes a full-time person

Every construction milestone means calling dozens of buyers, sending demand letters by hand and matching payments against a ledger.

05

You don't know which portal is worth paying for

You spend lakhs on listings every quarter, but you can't say which source brings buyers who actually book.

06

Channel partners keep asking about commission

Brokers call to ask whether their client's booking was counted and when they'll be paid. Your accounts team doesn't have a quick answer.

Why Softfix

How we work compared to a typical agency

A property website is easy to find. Software your sales team actually opens every morning is a different story.

What matters Softfix Typical agency
Starting point We sit with your sales head, a couple of site executives and your accounts team before planning anything. A template built for "real estate" in general.
Field testing If an executive can't log a lead one-handed while walking a site, we redesign the screen. Tested on a desktop in the office.
Portal leads Leads from the big portals and Facebook show up in the CRM automatically, tagged by source and project. Someone copies them across every morning.
Payment plans Built around how you actually price, whether that's construction-linked, down payment or subvention. One standard plan that doesn't quite fit.
Hosting & marketing We run the servers and can also handle your SEO and ads, so leads and software are in the same hands. Separate vendors who don't talk to each other.
Ownership The source code is yours. Take it anywhere you like. Locked into their platform and monthly fees.

Who we work with

A builder, a broker and a landlord all sell differently.

We don't hand everyone the same product. The core stays similar, but pricing, bookings and reports change with the business.

Builder project site

Builders & developers

One system for every project. Sales, inventory, allotment, demand letters, collections and RERA updates all sit together.

Broker and channel partner office

Brokers & channel partners

A simple CRM for your own team, a place to share listings, and a clear view of which deals have earned commission.

Property management

Property managers

Tenant onboarding, monthly rent, maintenance requests and lease renewals for residential and commercial properties.

Rental and PG platform

Rental & PG platforms

Listings, bookings, tenant verification and rent collection, for operators who manage a few hundred beds or a few thousand.

Commercial leasing office

Commercial leasing

Office and retail leasing with a tenant pipeline, fit-out milestones and rent escalations that are calculated for you.

Proptech startup team

Proptech startups

Marketplaces and listing apps launched with what buyers really use, leaving the nice-to-haves for version two.

What we build

Real estate software development services.

It starts with the ad that brings in a lead and ends with the receipt for the final instalment. You can pick one piece or the whole chain.

Discuss your project

Real Estate CRM

Every lead lands in one list with an owner attached. Calls get logged, and if a follow-up is missed, the sales head finds out the same day.

Listings & Inventory

Every flat, plot, shop or villa with photos, floor plans and live availability. When a unit is booked, it's gone for everyone instantly.

Property Search Website & App

Map-based search, filters that make sense for Indian buyers, and an enquiry button that reaches a real person quickly.

Site Visit Tracking

Visits get scheduled and assigned to an executive, who records feedback after. Buyers who went quiet are flagged for a nudge.

Booking & Allotment

Token amount, buyer KYC, unit allotment and the agreement draft, done in one flow rather than across three departments.

Payment Schedules & Collections

Milestone-linked instalments for each buyer. Demand letters and reminders go out automatically, and receipts are generated the moment money arrives.

Broker & Commission Portal

Channel partners register leads, see their status and check what they're owed. That means fewer phone calls to your accounts team.

Rental & Property Management

Rent collection, maintenance tickets, lease renewals and owner statements for landlords and PG operators.

Problems we solve

What goes wrong in real estate sales, and how we fix it.

1

Leads go cold before anyone calls

The problem

Portal enquiries arrive by email at odd hours. By the time someone notices, the buyer has spoken to three other builders.

What we build

  • Leads pulled straight in from portals and ads
  • Automatic assignment to whoever is free
  • An instant WhatsApp reply so the buyer hears from you first

The result: Buyers hear back in minutes, while they're still looking at your project.

2

Inventory is never quite right

The problem

The sales team is working from Monday's sheet. Accounts has Wednesday's. The site office has its own copy.

What we build

  • One live inventory for every project
  • Units held for a set time when a token is pending
  • Price changes that update everywhere at once

The result: No more double bookings, and no awkward calls to apologise for one.

3

Collections drag on

The problem

When a slab is completed, someone has to work out who owes what, print letters and then chase payments for weeks.

What we build

  • Demand letters generated when a milestone is marked done
  • Payment links and reminders on WhatsApp and email
  • A buyer app showing what's paid and what's due

The result: Money comes in sooner, and your accounts team stops spending weekends on phone calls.

4

Nobody knows what's working

The problem

Management asks which campaign brought in last month's bookings. The answer takes a week and three spreadsheets.

What we build

  • Bookings traced back to the lead source
  • Conversion by executive, project and channel
  • A weekly summary emailed to directors

The result: You put more money into the portals that bring buyers and stop paying for the ones that don't.

5

Brokers feel left in the dark

The problem

Channel partners bring buyers but can't see what happened next. Some start sending their clients elsewhere.

What we build

  • A portal where brokers register and track their leads
  • Clear rules on who gets credit for a booking
  • Commission statements they can download

The result: Brokers trust the process and keep bringing you their best clients.

6

The field team avoids the app

The problem

The last CRM needed a laptop and Wi-Fi. Executives went back to their notebooks within a month.

What we build

  • A phone app built for one-handed use
  • Works offline in basements and unfinished towers
  • Voice notes and photos from site visits

The result: Your team actually uses it, so the data in it is finally reliable.

AI where it helps

Smarter tools for your sales team.

We usually add these once a few months of lead and booking data have built up. Before that, there isn't much for AI to learn from.

Lead scoring

Ranks new enquiries by how likely they are to book, based on budget, location and how past buyers behaved.

WhatsApp assistant

Answers common questions about price, size and possession date at any hour, then hands serious buyers to your team.

Matching buyers to units

Suggests available units that fit what a buyer told you, so executives don't have to scroll through the whole inventory.

Call summaries

Turns a recorded sales call into a short note in the CRM, so the next person who speaks to the buyer knows the background.

How we work

Built around the people who sell.

Your sales team lives on their phones, your sales head wants reports, and accounts reconciles lakhs every day. The process makes room for all three.

01

Understand how you sell (1–2 weeks)

We talk to your sales head, a few executives and accounts. We map where leads come from, how deals move and what the directors want to see.

02

Set up your rules (1 week)

Unit types, pricing, payment plans, commission slabs and RERA details. Everything gets modelled on how you actually do business.

03

Test screens with your team (2–3 weeks)

Clickable prototypes go to the people who'll use them daily. Anything that slows them down gets fixed before we write code.

04

Build in two-week sprints (6–12 weeks)

You get a demo every fortnight. Sales can start on the CRM while we're still building bookings and collections.

05

Move your data and train (1–2 weeks)

We bring over existing leads, bookings and payment records, then train sales and accounts on the parts they'll use.

06

Support and new projects (Ongoing)

When you launch a new tower or project, we add it. Bugs, updates and new features are covered under a support plan.

Security & compliance

Buyer data that stays safe.

Your CRM holds phone numbers, PAN cards and payment details for every buyer. That deserves proper protection, and it's also your most valuable sales asset.

Regulation

  • RERA project details and quarterly update support
  • DPDP Act 2023 for buyer data
  • GDPR and PIPEDA for NRI and overseas buyers
  • Option to keep all data on Indian servers

Payments & documents

  • PCI DSS compliant payment gateways
  • Digital agreements with e-sign support
  • Secure storage for KYC documents
  • Receipts and statements that can't be altered

Access & security

  • ISO 27001:2022 certified processes
  • Executives only see their own leads
  • Export controls so data can't walk out the door
  • Full logs of who viewed and changed what
Technology

A setup sized for your business.

A broker with ten agents and a developer with twelve projects need different things. We pick tools based on your size and what you're comfortable spending each month.

Ways to work with us

Start with the part that hurts most.

For most clients that's the CRM. Once leads are under control, bookings and collections usually come next.

Buyers or tenants

Typical timeline: 4–6 months

Cost

What affects the cost of real estate software.

Two CRMs can look the same in a demo and cost very different amounts to build. Here's why.

01

How many people use it

A CRM for your sales team is one job. Adding buyers, brokers, accounts and site staff, each with their own screens, makes it bigger.

02

Your pricing and payment plans

One flat price per unit is simple. Floor rise, PLC, parking and several payment plans take more work to model correctly.

03

Integrations

Every portal, ad platform, WhatsApp number, payment gateway or accounting tool we connect to adds setup and testing.

04

Public-facing apps

An internal tool can be plain. A website or app that buyers see needs polished design, fast photos and good search.

05

Moving old data

Years of leads and bookings in spreadsheets have to be cleaned up before they can be brought across safely.

06

AI features

Lead scoring or a WhatsApp assistant add to the build, though they often pay for themselves through faster responses.

FAQ

Questions real estate teams ask us.

01 Can leads from 99acres, MagicBricks and Housing come straight into the CRM?

Yes. Most portals send leads by API, webhook or email, and we connect to whichever one they offer. Each lead arrives tagged with the portal, project and campaign, so nobody has to type it in.

02 How much does real estate software cost?

It depends on how many people use it, how complex your pricing is and what we need to connect to. A CRM for a single sales team is a much smaller job than a full platform with bookings, collections and a broker portal. After a short call, we'll send a written estimate.

03 How long does it take?

A CRM usually goes live in about 6 to 8 weeks. A full sales platform takes around 3 to 4 months. Your team can start using the CRM while the rest is still being built.

04 Do you work on residential and commercial projects?

Yes, and plots, villas and rentals too. The CRM and inventory work much the same across all of them. Pricing, bookings and leasing get set up differently for each type.

05 Can it handle construction-linked payment plans?

Yes. You can set up any number of payment plans per project. When a milestone is marked complete, the system works out what each buyer owes and sends the demand letter and reminders for you.

06 Can we track commission for channel partners?

Yes. You can set different commission slabs, decide who gets credit when two brokers bring the same buyer, and give partners their own login to track leads and payouts.

07 Will the app work at sites with poor network?

Yes. The sales app stores what executives enter and syncs it once they're back in signal, which helps a lot in basements and towers still under construction.

08 Can you move our data out of Excel or our old CRM?

Yes. We clean up your existing leads, bookings and payment records and bring them across, then check the totals match before you switch over.

09 Who owns the code and the buyer data?

You do, completely. The code, the data and the cloud accounts are all yours. We're happy to sign an NDA before we start.

10 What happens after launch?

We stay on for support, fixes and updates. When you launch a new project or tower, we add it. If you want, our marketing team can also run your portal listings and ads.
