AI chatbots & agents development

Bots that handle real conversations, not just demos.

A chatbot that answers three scripted questions is a gimmick. We build the other kind — ones that read your docs, look up your orders, book your appointments, escalate politely when stuck, and quietly improve every week. On your website, WhatsApp, Slack, or wherever your users already are.

Chatbot vs Agent — the honest difference

One answers. The other gets things done.

Most projects only need a chatbot. Agents make sense when the task actually involves steps, tools and decisions — and when a wrong action has consequences.

Chatbot

Answers & guides

Reads your knowledge base, FAQs and product docs. Answers questions, walks through steps, collects details. Falls back to a human when unsure.

  • Support and FAQ deflection
  • Sales qualification and lead capture
  • Onboarding and how-to walkthroughs
  • Employee helpdesk (HR, IT, Ops)

Typical build: 2–4 weeks · $ moderate

Advanced

Agent

Takes actions

Plans a task, calls tools, reads the results and decides what to do next. Can book, refund, update tickets, run reports — with approval gates on risky steps.

  • Multi-step workflows (order → refund → email)
  • Tool use: APIs, databases, ticketing, CRM
  • Autonomous research and summarisation
  • Human approval on sensitive actions

Typical build: 6–12 weeks · $$ higher

The agent loop

How an agent decides what to do next.

A chatbot answers once and stops. An agent runs a loop — think, act, observe, repeat — until the task is done or it needs a human.

  1. 01

    Think

The agent reads the request and its memory, then plans the next action.

  2. 02

    Act

Calls a tool — search docs, query the order DB, send an email, update the CRM.

  3. 03

    Observe

Reads the result, checks it against the goal, and notices failures.

  4. 04

    Repeat or stop

Either it's done, or it takes another loop — capped at a max number of steps.

  5. 05

    Ask for help

Anything risky or uncertain gets a human approval gate.

Guardrails on every loop

Max steps, tool allow-lists, spend caps per conversation, PII redaction, action logging and human approval for anything that touches money, accounts or customer data. If it can't finish safely, it stops and asks.

Team deciding between off-the-shelf and custom chatbot

Honest answer first

If a $30/month tool covers 90% of your case, we'll tell you to buy it

Build vs buy

When to buy a chatbot tool, and when to build one.

There are dozens of off-the-shelf chatbot platforms. Some are great. Here's when we'd tell you to use one, and when a custom build pays for itself.

Buy it if

  • You only need FAQ-style answers
  • Standard website widget is enough
  • No custom integrations to your systems
  • You want to test the idea in a week

Build it if

  • Bot needs to touch your orders, CRM or ERP
  • You need multi-step agents with approvals
  • Data residency or compliance matters
  • You want to own the prompts and models
Chatbot & agent cost

Priced by what it does, not by talk-time.

Build cost depends on how many integrations and how agentic the workflow is. Run cost depends on conversation volume — we model both before you commit.

Starter · FAQ bot

Website chatbot

One knowledge source, web widget, live handoff to email or chat.

Typical timeline: 2–3 weeks
Most common Integrated · multi-channel

Chatbot wired into your systems

WhatsApp + web + tickets. Reads orders, CRM and knowledge base. Analytics and weekly tuning.

Typical timeline: 4–8 weeks
Agentic · multi-step

Autonomous agent workflows

Tool-calling agents with approvals, spend caps and full audit trails across systems.

Typical timeline: 8–14 weeks

Run cost per conversation

A well-designed support bot lands between $0.005 and $0.02 per conversation on token spend — 5 to 20× cheaper than the same interaction over a human agent. WhatsApp, voice and image-heavy bots cost more. We model it during scoping and put cost-per-chat on the dashboard from day one.

FAQ

Chatbot & agent questions, answered straight

Do I need an AI chatbot or a rule-based one?
If your questions are predictable and few, a rules-based bot (button menus) is cheap and reliable. As soon as users type free-text questions, or you want answers drawn from documents, an AI chatbot wins — same cost, dramatically better coverage.
How much does an AI chatbot cost to build and run?
A simple website bot is a small fixed-price project. A multi-channel bot wired into orders and CRM is a real build. Run cost is usually cents per conversation — WhatsApp, voice and image-heavy bots cost more because the underlying APIs are priced higher.
Can you build on WhatsApp?
Yes — WhatsApp Business Cloud API. We handle Business verification, template approval, catalog setup, payment links and the voice-note side. Most WhatsApp bots we build go live in 3–5 weeks including approval time.
Will the bot make things up?
All LLMs can, which is why we build three defences: retrieval grounds every answer in your own sources, a check scores the answer against those sources, and anything below a threshold either gets refused or escalated to a human. The failure mode becomes "I'll connect you to someone" — not confident nonsense.
Can the bot take actions, or only answer questions?
It can take actions — cancel an order, refund a payment, book a slot, update a CRM record, create a ticket — but always under rules you set. Sensitive actions require human approval before they go through. Every action is logged with who requested it, what data was used and what the result was.
How do you measure if it's working?
Four numbers we watch: deflection rate (how many chats the bot closes alone), containment (how many it handles without a handoff attempt), CSAT on bot-handled chats, and cost per conversation. If deflection isn't climbing in 4–6 weeks, the design needs a rethink — and we say so.
Who owns the bot, prompts and data?
You do. Code, prompts, knowledge base, integrations and logs all sit in your accounts and are assigned to you in the contract. No lock-in to us, and no lock-in to any single LLM provider.
Free chatbot scoping call

Tell us what you want the bot to handle.

Where it should live (website, WhatsApp, Slack), what it needs to answer or do, and the systems it must connect to. We'll reply within a working day with a plan and a rough cost.
